XLPrint’s PARIS software system uses a set of user-defined templates to create documents from a series of data fields held in a host application or database. Processes or changes in data can trigger standard host application documents that provide the broad content of a communication and these are automatically exported into PARIS.
PARIS then creates the actual document that is sent, by following the easy to set-up and change user defined rules held in the PARIS template. These rules control exactly how the document looks, what content is included and whether an opportunity to either consolidate into a single envelope or to deliver electronically exists, and if so enables it. PARIS adds value to the data being supplied by the host application and in the process can enable considerable savings opportunities for organisations each year.
As an example, a typical housing department could realise a reduction of over 22% and a typical Revenues and Benefits department 45% of their outgoing mailings by utilising the PARIS Mail consolidation service across their outgoing documents – this is regardless of where printing and posting is done or who provides these services. Having multiple documents arrive in a single envelope also improves the perception of how the organisation is being run.
PARIS also allows the organisation to offer its correspondence electronically, rather than by post. The correspondence may be sent by email as a PDF attachment or be accessed via a web-based Self-Service Portal using any web-enabled device (tablet, smartphone, or PC).
All electronic versions of the actual documents sent can also be automatically fed to archive systems so that a full audit trail of correspondence can be captured and referred to, with electronic copies of the actual documents, rather than just the data used at the time. This way any queries can be answered simply with the customer service representative having an accurate view of the document the customer is referring to.
PARIS allows all correspondence to be designed for maximum efficiency and maximum clarity to help drive the required outcomes and can adhere to any standards the organisation has or would like to adopt. A re-branding exercise and improvements to standard application output are easily completed and added value components like Paypoint, Allpay and QR barcodes can be easily incorporated into outgoing documents to support improved cash collection and access to extra web based information. Information can also be included to enable more efficient processing of documents that are to be returned to you, so the business process can be optimised.
Any paper documents can be printed internally or externally. If printed internally they can be printed on any printers that are connected to the organisation’s network, so remote offices have the same capability as an internal print facility. Plain paper is used throughout and can be printed on both sides, removing the need for costly pre-printed forms and expensive stationery. The optimized PARIS generated documents can also be electronically sent to an external organisation for the printing and mailing functions.
